How teams use it — concrete examples
Six real-world scenarios you can replicate in five minutes each.
Track which trade-show every lead came from
Your sales team scans badges at three trade shows this year. You want every contact tagged with the show they came from so you can measure which event delivered the best leads.
- Open /contacts/custom-fields and create a Select-from-list field called
Source Eventwith options2026-Berlin,2026-Paris,2026-Lisbon. - After each show, CSV-import the badge scans — the field auto-renders as a dropdown on every contact.
- Six months later, run a smart segment
Source Event = 2026-Berlinand check open / click rates.
You can prove Berlin generated 38% of pipeline vs Paris's 21% — concrete data for next year's event budget.
Win back inactive VIPs with a single click
Your VIP customers haven't opened anything in three months. You want a one-shot re-engagement campaign — without rebuilding the recipient list every time.
- At /contacts/segments/create click the Win-back: inactive 90 days prefab and tweak the threshold.
- Add a rule
tag is vip. Save the segment as VIP win-back. - From the segment list, click Send mailing; the segment is re-evaluated live and the matches pre-load as recipients in compose.
237 inactive VIPs receive a personalised "we miss you" email. Re-runs three months later auto-pick up new at-risk contacts — no manual list refresh.
Forecast Q2 pipeline at a glance
You're a freelance consultant juggling 12 active deals across 8 clients. You want a visual pipeline that totals expected revenue per stage without spreadsheet pain.
- For each lead, open /contacts/deals/create and add a deal with title, value, expected-close date, and the linked contact / company.
- The kanban at /contacts/deals auto-totals forecast value per column (Lead / Qualified / Proposal / Won / Lost).
- Drag a card across columns as it progresses — probability auto-bumps (lead 20% → qualified 40% → proposal 60% → won 100%).
One screen tells you Q2 weighted pipeline is £47k, with 3 deals overdue (red highlight). No spreadsheet, no Trello.
A monthly newsletter five team members can reuse
Marketing built a beautiful branded newsletter in the visual builder. You want everyone on the team to send the next monthly issue from the same layout, just with new content.
- In compose, build the layout with the drag-and-drop builder, then click Save as template — the GrapesJS state, subject, and body all persist.
- Anyone on the team opens compose, picks the template from the picker, edits the headline and body blocks, and sends. The Builder tab opens automatically.
- Or fire it from a Zapier workflow with
POST /api/mailing/templates/{id}/send+ a recipient list.
The April newsletter goes out in 4 minutes instead of 40. Brand stays consistent across team members. Templates float to the top of the picker by most-recent use.
Pick the better subject line automatically
You're announcing a new feature to 5,000 customers. You can't decide between two subject lines — you want data, not guesses.
- In compose, toggle A/B test. Type Variant A's subject ("Your March update") and Variant B's ("5 things we shipped in March").
- Set sample size 20% and winner-pick window 4 hours.
- Click Send. FastLinkIt ships 1,000 emails (500 per variant), waits 4 hours, picks the winner by open rate, and ships the remaining 4,000 with the winning subject — automatically.
Variant B wins with 34.7% opens vs A's 28.4%. The 4,000 follow-on sends use B. Per-variant stats show on the mailing's analytics page.
Onboard every new booking with a 5-step drip
When a prospect books a strategy call, you want them to receive a 14-day educational email series — without ever manually adding anyone to a list.
- Auto-capture already tags every booking visitor with
source:booking:<plannerCode>— nothing to wire up. - At /mailing/sequences/create pick the Welcome series prefab, set the trigger to
tag_addedwith valuesource:booking:strategy-call. - Customise the 5 steps (Day 0 thank-you, Day 1 how to prepare, Day 3 case studies, Day 7 testimonials, Day 14 follow-up offer) and save.
Every new booking auto-enrols. The dispatcher ships each step at the right delay. Live enrolment counts at /mailing/sequences/{id}/enrollments — no spreadsheets, no manual list refresh.
Frequently asked questions
Everything you need to know about the contact manager.
What is the contact manager for?
The contact manager lets you store and organise all of your contacts in one place. You can create detailed profiles with personal info, work details, multiple phone numbers, addresses, websites, and timestamped notes. It integrates directly with the email mailing feature so you can send targeted campaigns to specific groups.
Can I import contacts from a CSV file?
Yes. You can import contacts into any group using a CSV file with columns for Email (required), FirstName, LastName, Company, and Phone. The import automatically creates new contact records for any email addresses that do not already exist in your account.
How does bounce tracking work?
FastLinkIt automatically detects bounced emails via IMAP monitoring. Each bounce increments the contact's BounceCount. After three bounces, the contact is automatically suppressed from future mailings to protect your sender reputation.
Can contacts unsubscribe themselves?
Yes. Every mailing includes an unsubscribe link. Recipients can unsubscribe from a specific group or globally opt out of all mailings via a self-service unsubscribe page. Unsubscribed contacts are automatically excluded from future sends.
Is there a limit on the number of contacts?
There is no hard limit on the number of contacts you can store. All paid plans (Starter and above) include unlimited contact storage. The contact manager is not available on the Free plan.
Which plans include the contact manager?
The contact manager is available on Starter, Basic, Professional, and Unlimited plans. Free plan users can upgrade at any time to access contact management, groups, CSV import, bounce tracking, and unsubscribe handling.
